From a driver question to a resolved request

By FleetVerity · Published · 2 min read

Drivers should not have to repeat the same question to several managers to find the right person. A support process needs an answer path and a named owner.

Start with the question

Capture what the driver is trying to do and which part is unclear. Ask a short clarifying question when you need one. Avoid collecting personal details the answer does not need.

Use approved guidance

Give the relevant procedure together with where it comes from. If the procedure is missing, out of date or ambiguous, route the request to an authorized person rather than improvising a policy.

Make the handoff visible

Record the responsible team, the current owner, the open question and when a response is expected. Keep the context with the request so the driver does not have to start over.

Confirm what happened

Treat “reply sent” and “driver confirmed it was resolved” as two different states. Give the driver a way to reopen a request when the answer did not solve it. Watch unassigned and overdue requests separately.

Improve the knowledge

Review the questions that keep coming back. A good manager answer can become a draft knowledge entry — but it should pass your approval process before anyone treats it as company guidance.

General management guidance. Adapt it to your company's approved procedures, and keep decisions that need judgment with authorized people.
