The weekly payroll-exception review

By FleetVerity · Published · 2 min read

This checklist organizes an operational review. It is not a substitute for your payroll provider, the requirements that apply to you, or professional advice.

Confirm the population and the period

Check the pay-period boundaries, the roster in scope and when each source was retrieved. List missing files and the employees whose records still need matching. Never read missing time as zero work.

Inspect punch exceptions

Review missing clock-ins and clock-outs, and keep the correction history. Confirm the employee's and the manager's account through your approved process before a record is changed.

Compare minutes with their meaning intact

Keep scheduled time, recorded work and payroll-preview time distinct. Show each minute difference with its sign and its basis. A difference identifies an item to review; on its own it does not establish an underpayment or an overpayment.

Track the resolution

Give each open exception an owner, and record its source evidence, the explanation, any approved correction and whether it was rechecked. Avoid a blanket “all clear” while source coverage is incomplete.

Keep the final review with the right person

Use your established payroll authorization process. FleetVerity supports exception review and evidence organization; it does not run payroll, replace your payroll provider, or decide what the law requires.

General management guidance. Adapt it to your company's approved procedures, and keep decisions that need judgment with authorized people.
